The WhatsApp Business API is the business version of WhatsApp that allows companies to send and receive automated messages through external software, unlike the free WhatsApp Business app, which only works manually.
Difference Between the App and the API
Many trade businesses start with the free WhatsApp Business app. It's suitable for small numbers of conversations that you manage yourself. Once volume grows or you want to automate something, you run into its limitations.

The app works well for a sole proprietor who manages their own phone. The API is for trade businesses that want to automatically follow up on leads, send confirmations, or connect a chatbot.
How the WhatsApp Business API Works Technically
The API doesn't work through an app from WhatsApp itself. You need a so-called BSP, a Business Solution Provider. This is a party officially recognized by Meta that provides access to the API through their platform. Well-known BSPs include 360dialog, Trengo, MessageBird, and Respond.io.
Through that BSP, you connect WhatsApp to other software: your CRM, your scheduling system, or a chatbot platform. This allows messages to be sent automatically based on triggers, for example when someone fills out a form, requests a quote, or confirms an appointment.
What Does the WhatsApp Business API Cost
The costs consist of two layers.
Meta's Costs (per conversation)
Meta charges per conversation, not per message. A conversation lasts 24 hours after the first message. There are four categories:
- Marketing (you initiate, commercial purpose): approximately $0.12 per conversation
- Utility (transactional, such as confirmations): approximately $0.07 per conversation
- Authentication (verification codes): approximately $0.05 per conversation
- Service (customer sends first): free up to a certain volume
These rates apply to the Netherlands and may vary by country. Meta adjusts them periodically.
BSP Costs (platform)
In addition, you pay a monthly fee for the BSP's platform. This ranges from around $35 per month for a basic package to more than $220 for more extensive plans with multiple users and integrations.
For an average trade business with 100 to 300 customer conversations per month, total costs are typically between $55 and $165 per month.
What Can a Trade Business Automate
WhatsApp automation via the API offers trade businesses a number of concrete applications:
- Automatic confirmation after a quote request, as soon as someone fills out a form, they receive a WhatsApp message within a minute confirming receipt and expected response time
- Appointment reminders, automatically send a reminder the day before an appointment, including address details
- Status updates, keep customers informed about scheduling, for example when a team is on its way
- Quote follow-up, if a quote remains unanswered for three days, automatically send a message asking if there are any questions
- Collecting reviews, after finishing a job, send a message requesting a Google review
What's Not Allowed
WhatsApp enforces strict rules. Failing to comply risks a block on your business account.
- You may not send unsolicited messages to people who haven't given permission
- Bulk messages are only allowed through approved message templates
- Templates must be approved by Meta in advance, this usually takes a few hours to a day
- Promotional messages within service conversations are only allowed to a limited extent
For WhatsApp use by trade businesses, always make sure you have an opt-in. This can be done through a checkbox on your contact form or a clear statement in your quote process.
When Is the API Worthwhile for a Trade Business
The API isn't necessary for everyone. It makes sense when:
- You handle more than 50 new leads or customer contacts per month
- You notice leads dropping off because follow-up is too slow
- You want to send follow-up messages without spending your own time on it
- You want to connect an AI chatbot that answers questions outside business hours
If you're only dealing with a handful of conversations per week, the free app is usually enough.
